Today, working remotely is commonplace and in a world where things are increasingly interconnected, the thinking around relocation has to evolve.

To meet the new reality of how people work, Topia is a mobility management platform that breaks down barriers between people and places so companies and individuals can work everywhere.

At Topia, I worked in two main projects:

Employee Map

In the wake of the pandemic, companies faced new compliance risks due to talent mobility, which became critical as they needed to adapt to the evolving distributed workforce. Companies need to know where employees are working and get ahead of compliance risks and audits.

Research

Conducting interviews with our primary clients, we identify the pressing needs and risks associated with the distributed workforce. Among the key client needs were to know where all employees were working and to understand new risks as teams operated remotely, recognizing specific risks like permanent establishment, payroll withholding due to business travel, or immigration issues.

What I did:

Ideation

Based on the insights gathered from interviews, we ideate a map displaying all employee locations, summarizing the risks that companies need to address, and providing a comprehensive overview of past, present, and future travelers.

What I did:

  • Conceptualized main data display.

Core UX concepts

  • Visual representation: visually intuitive depiction of employee locations

  • Data clarity: Simplification of complex data

  • Risk transparency: Clear presentation of risks grouped accordingly

  • Action orientated: Highlight risks requiring action

Product

We have structured the map to encompass three key areas of information:

  • Today: Employees are visually pinpointed on the map according to their current locations, with graphical distinctions made for local employees, assignees, remote workers, and travelers. Users can zoom in/out to view them at various geographic levels, from countries to cities.

  • Risk Overview: The map highlights risks that demand attention, categorized into four layers: Visa Expiration Risk, Employee Tax Risk, Business Entity Risk, and Jurisdiction Time Risk.

  • Travel: This section provides insights into past, present, and future travels, along with associated compliance statuses.

What I did:

  • Designed map interface.

Posted Worker Directive Solution

The Posted Worker Directive is a European Union rule mandating that when an employer temporarily reassigns a worker to another EU country, the employer compensates that work on par with other, local workers. Enforcement begun in 2020, with penalties varying by country. The regulation have broad implications for companies operating in Europe. Complex tax, immigration, social security, travel, and health insurance considerations require multi-domain expertise. Planning, data collection, and filing typically involve lengthy manual processes, multiple departments, and complex data requirements.

Research

We conduct research on the solutions available in the market and interview prospective clients to identify pain points where we can offer a better solution. We conceptualize the directive and companies' needs to stay in compliance with this new, complex initiative.

Ideation

We generate ideas for a solution oriented toward travelers employees and a solution for companies to manage employees travel authorizations.

What I did:

  • Defined main functionality.

  • Created User Flows

Product Employee App

We structured the product into three phases, planning ahead, collecting what's needed, and processing materials.

  • Plan: Proactively identifies the people who need authorization to travel using data prediction to determine a person's travel destinations and company's historical data to identify travel patterns, highlighting areas of focus.

  • Collect: Automatically populates and allows user entry of any required data needed to fulfill the requirements, sending the output to the service partner.

  • Process: Once the government authorizes travel, the authorization is sent back to the user through our tool.

  • Designed mobile app for travelers employees

Product Companies Dashboard

We have developed a dashboard to visualize and manage employees' authorizations. The dashboard is structured around the authorization process and status, highlighting the actions the companies need to take.
